Job Description Summary:
The George Washington University Museum and The Textile Museum combines global textile collections numbering some 25,000 artworks with the Albert H. Small Washingtoniana Collection documenting the establishment of Washington, D.C. as a national capital. Exhibitions and educational programs take place at the public museum on 21st and G Streets, supported by a state-of-the-art collections care facility on GW’s Ashburn campus. The museum is committed to academic engagement by supporting classes and research, as well as by hiring students for museum work. The museum is AAM accredited.
The Museum seeks applications for a Finance Associate who will serve as the primary liaison with the university’s central administration to facilitate and coordinate operational needs. This person will collaborate with senior staff on matters relating to human resources (including student workers and temporary employees), facilities, safety & risk management, and fiscal sustainability. Duties include working closely with museum leadership and the Senior Accountant to construct and monitor annual budgets, work with GW’s Finance Director to oversee accounts payable, monitor spending and perform other financial activities as needed.
Primary job responsibilities:
Budgeting
    • With museum leadership, compile quarterly, annual and five-year museum budgets
    • Review budgets with finance director quarterly and update projections
    • Coordinate the annual endowment drawdown with the museum’s development director and the Comptroller’s Office; approve monthly endowment results
Financial Coordination
  • With the Senior Accountant, review and approve expenditures including purchase orders, invoices, payroll distributions, etc.; review exhibition spending and forecast future needs; authorize and supervise p-cards spending and approval of reports.
  • Monitor spending of funds from grants in cooperation with GW’s Office of Sponsored Projects, including entering labor distribution of salary costs into the tracking system and monitoring budget to actuals to assure that grants are fully spent; provide requested financial documents for grant applications
Risk Management & Legal Compliance
  • Serve as staff liaison with GW’s Office of General Counsel to facilitate contracts and other legal matters
  • Liaison with GW’s insurance department
  • Maintain and coordinate a schedule of safety training for staff and volunteers
  • Oversee administration for The Textile Museum, primarily involving legacy accounts, including banking and employee pension, as well as annual preparation of basic Form 990 and 990-T schedules
Staff Support
  • Coordinate the hiring and management of student workers, as well as temporary hires and contractors
  • Submit documentation for new hires and close out for staff terminating employment
  • Coordinate employment processes with GW HR representatives
  • Approve biweekly hourly payroll, monitor payroll to budget, and compile quarterly payroll cost
Facilities & Infrastructure
  • Coordinate building needs with GW Facilities personnel (climate, security, maintenance, etc.)
  • Maintain and coordinate a schedule of preventative maintenance and necessary special projects for museum facilities
  • Interface with GW IT personnel to assure efficient and secure technological resources
The incumbent may perform other related duties as assigned. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.
Minimum Qualifications:
Qualified candidates will hold a Bachelor’s degree in an appropriate area of specialization plus 2 years of relevant professional experience, or, a Master’s degree or higher in a relevant area of study. Degree must be conferred by the start date of the position. Degree requirements may be substituted with an equivalent combination of education, training and experience.
